Solutions K-TAP scanning and conversion services address the most costly aspect of Electronic Document Management Solutions: the hardware, software and labor associated with image and data capture. But document images and data by themselves do not provide value to our clients. The value comes from the blending of hardware, software and services to create a total solution, which provides our clients with the 5 Rs:
Proposed solutions are based on your information requirements and budgetary constraints, with an eye on the future. Solutions can be as simple or complex as the client wants and the application requires. Some EDMS solutions, such as EDMS on a CD or the use of an Internet Document Repository, require no up-front investment in hardware or software. Others, like in-house EDMS solutions, are a bit more complex, and require the acquisition and maintenance of hardware and software. In-house EDMS solutions, however may address the larger scale, ongoing application in a more cost effective manner. The simplest EDMS solution is the self-contained CD. Documents are scanned and indexed by K-Tap. The document information, along with the software that permits the user to automatically access, view, print and fax any document, is burned onto a CD. The result is a self-contained EDMS on a CD. Each CD can hold up to 15,000 documents, or approximately the amount stored in a 5 drawer file cabinet. To retrieve a document, the user would place the CD into their computer’s CD-ROM drive, launch the software and key in the index retrieval information (e.g. SSN, P.O. number, customer number, book and page number). In seconds the required document is displayed and can be reviewed, printed, faxed or emailed. There is no requirement for specialized hardware or software. Everything needed for the document imaging system resides on the CD. Another EDMS solution which does not require the client to invest upfront in hardware or software is the use of an Internet Document Repository. In this solution the documents are scanned and indexed by K-Tap. The document information is uploaded via the Internet to a secure document repository. All the client needs to access any document, anywhere, anytime is an Internet connection and a web browser. Everything else is provided by K-Tap and it’s ASP, Digitech Systems Inc. The cost of Internet based document imaging is based on document image storage requirements. The client pays a monthly fee, base on storage requirements, and has unlimited access to the document images. The monthly fee is more than offset by saving in the labor and floor space associated with paper files. With no upfront capital expenditures the Internet Document Repository may be an attractive alternative to in-house document imaging. Individually these EDMS components are the building blocks which create a scalable document management solution tailored to our clients specific needs.
